Time blocking is a productivity method where you divide your day into discrete blocks of time, each dedicated to a specific task or category of work. Instead of working from a to-do list and reacting to whatever feels most pressing, you proactively schedule when you will do each task. The method was popularized by Cal Newport in his book Deep Work, though variations have been used by highly productive people for centuries β Benjamin Franklin famously planned his day in blocks.
At the start of your day (or the evening before), look at your task list and assign each item to a specific time slot. The key distinction from a regular calendar is that you block time for everything β not just meetings, but deep work sessions, email processing, breaks, exercise, and personal tasks. Every minute of your workday has a job.
Start by blocking your most important deep work first, ideally during your peak energy hours (for most people, mid-morning). Build in buffer blocks between tasks for transitions and unexpected issues. Be honest about how long tasks actually take β most people underestimate by 30-50%.
